Introduction and Scope
This Privacy Policy outlines how Remote Task Squad (“Remote Task Squad,” “we,” “us,” or “our”) collects, uses, discloses, and protects the Personal Information of our Canadian clients, Virtual Assistants (VAs), and website visitors (collectively, “Users”). We are committed to complying with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable provincial privacy legislation. Our commitment is rooted in the ten fair information principles that govern the collection and use of personal data.
Definitions
Personal Information: Any information about an identifiable individual, which may include, but is not limited to, name, address, telephone number, email address, payment information, service requirements, and client feedback.
Services: The provision of specialized Virtual Assistant and administrative support services offered by Remote Task Squad.
Privacy Officer: The individual designated by Remote Task Squad as accountable for compliance with this Policy and Canadian privacy law.
Accountability
Remote Task Squad is responsible for all Personal Information under its control. We have designated a Privacy Officer who is accountable for our compliance with this Policy and applicable law. Our Privacy Officer ensures that training and procedural safeguards are in place to protect your data across our entire organization and with third-party service providers.
Identifying Purposes and Limiting Collection
We collect Personal Information only for purposes that are identified before or at the time of collection, and only that information necessary for those purposes. The reasons are:
- To identify and match you with a suitable Virtual Assistant based on your service requirements and industry.
- To administer our Services, including billing, processing payments, and managing your ongoing service contract.
- To communicate with you regarding your service, new offerings, updates, and feedback.
- To manage and evaluate the performance of our VAs and the quality of the Services.
- To comply with legal and regulatory requirements, including those related to tax and record-keeping.
If we wish to use your Personal Information for any new purpose, we will seek your consent before doing so.
Consent
Your knowledge and consent are required for the collection, use, and disclosure of Personal Information, except where inappropriate or legally exempted.
Implied Consent: Consent is generally implied when you provide Personal Information that is necessary for the performance of the requested Services (e.g., providing payment details for billing).
Express Consent: We may seek express consent (oral or written) for uses or disclosures that are outside the scope of the basic Service provision, such as for marketing communications.
Withdrawal of Consent: You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may limit our ability to provide certain Services to you.
Limiting Use, Disclosure, and Retention
Personal Information will not be used or disclosed for purposes other than those for which it was collected, except with your consent or as required or permitted by law.
Internal Disclosure: Your service requirements and contact information may be shared internally with our matching specialists, regional managers, and the assigned Virtual Assistant.
Service Providers: We may share data with third-party processors necessary for running our business, such as payment processors, cloud hosting providers, and Customer Relationship Management (CRM) tools. These parties are contractually bound to maintain confidentiality and security standards consistent with this Policy.
Retention: We retain Personal Information only as long as necessary to fulfill the purposes for which it was collected, to provide the Services, and to meet our legal obligations. Data that is no longer required is securely destroyed or anonymized.
Accuracy of Personal Information
Remote Task Squad strives to ensure that Personal Information is as accurate, complete, and up-to-date as is necessary for the purposes for which it is to be used. We encourage Users to keep their contact and billing information current. If you believe the Personal Information we hold about you is inaccurate, please contact our Privacy Officer.
Safeguards and Cross-Border Data Transfer
We protect Personal Information with security safeguards appropriate to the sensitivity of the information. This includes physical, organizational, and technological security measures to protect against unauthorized access, disclosure, copying, use, or modification.
Technological Measures: Data encryption (both in transit and at rest), secure access controls (including multi-factor authentication), and regular security audits.
Organizational Measures: Internal policies and training for all Remote Task Squad employees and Virtual Assistants on privacy protection and data handling procedures.
Cross-Border Transfer: Remote Task Squad utilizes a global network of specialized Virtual Assistants and cloud service providers, which means that your Personal Information may be stored and processed outside of Canada, including in the United States. When your data is transferred outside of Canada, it may be subject to the laws of the jurisdiction where it is held, and may be accessible to local government authorities under mandatory disclosure laws.
We take reasonable steps to ensure that any third-party service providers located outside of Canada have privacy and security measures in place that are comparable to those under Canadian law. By using our Services, you consent to the cross-border transfer of your Personal Information for the purposes outlined in this Policy.
Openness and Individual Access
We will make information available to individuals concerning the policies and practices that apply to the management of their Personal Information. This Policy is publicly available on our website.
You have the right to request access to the Personal Information we hold about you. Upon written request, and subject to any legal or contractual restrictions, Remote Task Squad will inform you of the existence, use, and disclosure of your Personal Information and give you access to that information.
Challenging Compliance
You have the right to address a challenge concerning our compliance with the ten fair information principles to our Privacy Officer. We have procedures in place to receive and respond to complaints or inquiries regarding the handling of information. We will investigate all complaints and take appropriate measures to amend our policies and practices where necessary.
